The following EXCOM Voting Members were in attendance:

1. The Minutes from the September 12, 2005 EXCOM teleconference meetings were approved by E-Mail vote.

2. OLD BUSINESS:

A. The following is the 2006 Officer Nomination Slate to be voted on at the 20 Oct General Meeting.

- There were no candidates submitted by Petition for the 2006 Officer Slate.

B. Bill Ritter – Status of 2006 Monthly meeting contracts. We are in the process of finalizing a 2006 Monthly Meeting schedule and meals with the Wyndham Garden Hotel. Contract will include one monthly meeting each month, with the May meeting optional with a 30-day notice and all meetings being on the 3rd Thursday of every month with the exception of November and December, when it would be on the 2nd Thursday of the month. The meals are being revised to healthier meals for everyone and will include the normal meal, plus a gluten free meal (Debby Dilks assisting here), and a vegetarian meal (Shiva Narayanabhatla assisting here). The Embassy Suites will contract for the May dinner meeting; contact them in Jan 06 to schedule the date, time, and menu.

Bill presented results of negotiation with the Wyndham. The rate of $17 per person which includes tax and tips will remain the same, but our minimum was reduced from $350 to $300. Discussion was held whether to try and further negotiate lower rates. Some were concerned that that could lead towards lower quality. Bill mentioned a 2 year versus 1 year contract may be a negotiating point. Consensus among the voices was to stick to the current 1 year renewal.

C. Bill Ritter – Status of B-2 Bomber Tour. It is now scheduled for Tuesday 18 Oct 05. The AFB accepted all 36 hopeful attendees on the list submitted. There is limited space available for the B2 simulator; a short list will be drawn from a hat.

3. NEW BUSINESS:

A. Status Report - Dave Kasper volunteered to contact Pittsburg State University to see if they would be interested in hosting an EXCOM meeting Saturday, November 12. D.Kasper moved that the section pay for lunch and drinks for all attendees at the meeting. Second by F.Granville and approved by vote.

The next Section EXCOM meeting will be on 12 November 2005 at Pittsburg State University. For those unable to attend in person, we will also have the Telephone Conference Call in place. The time of the EXCOM Meeting will still be 12 noon through 1 PM. The EXCOM that do travel to PSU will meet with the IEEE Student Branch (Section providing pizza and soft drinks) and then will go on a tour of PSU. For those not familiar with PSU, you will definitely be surprised at the state of the art equipment that they have for teaching.

B. Discuss Monthly Meeting time. Currently it is Social 6:00 – 6:30 PM, Dinner 6:30 – 7:30 PM, and Presentation 7:30 – 8:30 PM with 15 minutes of Q&A. Discussion was held but a decision was tabled till next months meeting.

C. Discuss KC Section Controller. See attached KC Section Controller Position Paper – Draft 20050930. M.Lamendola summarized the paper’s position and discussion was held. It was moved but not seconded to look for a volunteer controller. We agreed to solicit opinions from the members at the October meeting on their opinion of the subject. F.Granville presented a motion to establish a committee to define the role of Section Controller, it was 2nd by D.Hodgman and approved by vote. M.Lamendola volunteered to contact Randy Smischny for his input into the committee.

D. Request for travel expense authorization for Bill Ritter to attend a seminar hosted on 28 Sep 05, at the Hilton in Kansas City, MO. Trip also included coordination with the Wyndham Garden Hotel, and Embassy Suites. Mileage is all that is requested. Seminar was hosted by CVENT an online registration capability. This was attended because of the upcoming 2008 R5 Conference in Kansas City hosted by the Kansas City Section. CVENT was purchased (2 year contract) by the Denver Section as a last resort when they had problems building a registration website. San Antonio will host the next conference and will utilize the contract initiated by Denver. There is a good possibility that this could be easily adapted to our monthly meetings. It has VeriSign to collect credit card money. It sends out e-mails prior to and after events.

K.Duncan moved, F.Granville 2nd a motion to authorize mileage reimbursement for Bill Ritter’s trip; motion approved by vote. Bill presented his findings on CVENT. The technology offers great advantage for payment and tracking of event participants but the $3 per person entry is high for our section events. In addition to event sign-up, CVENT empowers the organizer to send updates, track entry and poll participants concerning the event. B.Ritter is waiting on feedback from IEEE Pres. Cleon Anderson on his CVENT experience and opinion. An important question is: “Can we get benefit/feedback from the automated process that justifies $3/person?” Further discussion was tabled.

E. Discuss next date for the training of the KC Section Officers. Tabled.

F. Need a volunteer to replace Omar Marte as the JEC Representative. In the past the JEC Rep was authorized to charge, monthly meal expenses incurred in attend JEC functions. Main function is to post meeting announcements on the JEC website and coordination between JEC and the section. Tabled.
