IEEE Kansas City Section  EXCOM Minutes 2004-03

Minutes, March, 2004

 

The March 1st 2004 EXCOM Telephone Conference was called to order at 12:10pm after leaving 10 minutes for the EXCOM voting and non-voting members to sign in.

  1. EXCOM members present for the meeting were:
    1. Voting EXCOM Members
Atchinson, Ellahi, Hodgman (taking Granville’s place), Ritter, and Rummer were present. 45.5% Represented
    1. Non-Voting EXCOM Members
Kasper and Lamendola were present. 11.1% Represented
  1. Call for a vote to accept the 2 February EXCOM Meeting Minutes.
  2. Dale Rummer moved that the February 2nd 2003 EXCOM Meeting Minutes be approved as presented and Taimur Ellahi seconded the motion. Vote was unanimous in favor of accepting the motion.

    Old Business:

    1. EXCOM Reports Officer is now Section Business Information Officer. The old Reports Depot is in the process of change per discussion from the last meeting and suggestions received during this past month.
    2. There was discussion of putting links on the main menu to other WebPages like the Business Information Page, but in the case of the Business Information Page, it needs to be defined and nearly complete prior to any linking. Bill, Chris and Mark will talk further on updating the website.

    3. IEEE-USA Leadership Conference, 19-21 Mar 04, Atlanta, GA

      These individuals are registered to attend the IEEE-USA Leadership conference.

    4. R-5 2004 Annual Technical Conference and Leadership Workshop
      1. Section Chair will participate as R-5 EXCOM participant
      2. Ted Atchinson as Primary Section Participant (Paid by R-5) – Ted cannot attend; Alan Richardson will attend in his place.
      3. Taimur Ellahi as Section Paid Participant – Can not Attend
      4. Omar Marte as Alternate for Taimur Ellahi – Can not Attend

      Clarification from R-5 has revealed that a portion of Bill Ritter’s expenses will be paid by R-5, as their 2005 Sections Congress Coordinator and a portion of Ted Atchinson expenses will be paid by R-5, for attending the primary conference and not the Technical Conference on Friday. This means the Section will have to pay a portion of each of their travel costs. With this being the case, a third participant was dropped from consideration.

       

      These individuals are registered to attend R-5 Annual Technical Conference.

       

    5. Submission of request to R-5, for the KC Section to host the 2008 R-5 Annual Technical Conference and Leadership Workshop.
    6.  

      Region 5 will be making a decision this June as to who will host the 2008 R-5 Annual Technical Conference and Leadership Workshop. Currently we are the only chapter that has submitted a request.

       

    7. Last months EXCOM Meeting resulted in a vote to increase the meal costs at dinner meetings. Member $18 to $20 and Student $10 to $15.

    Ted Atchinson (Section Secretary) volunteered to write a New Meal Policy, based on the following guidelines, which were provided by all EXCOM Members attending the meeting – Ted will send all of you the Draft Policy for review and comment at our nest EXCOM Conference Call on Mon 1 Mar.

    1. IEEE Member Dinner meeting fee $20.

    2. IEEE Student Dinner meeting fee from $15.

    3. Late registration fee from $5.

    4. IEEE Members (including students) need to provide their IEEE Number when registering.

    5. IEEE Student Members need to be enrolled full-time to get the discounted rate.

    6. No Shows, how and what do we charge, if anything. Do walk-ins cancel a no show?

     

    Ted will revise the draft policy as discussed at the EXCOM Meeting. He will send it out for review prior to the next EXCOM Meeting.

     

  3. New Business
    1. Determine Date and time for Face-to-Face EXCOM Meeting in April.
    2.  

      Since the University of Missouri, Kansas City has been recognized by the Regional Activities Board for an award, it was tentatively decided that our next EXCOM meeting would be held at their campus in April. Bill will be looking into a possible date and time, and will correspond via e-mail will all the EXCOM members to confirm a time convenient to the majority. Providing of Pizza, with each EXCOM member paying $5 was discussed as a possible option, to offer an added incentive for students to attend the meeting.

      A motion was moved by Dale Rummer and was seconded by Dick Hodgman. Vote was unanimous in favor of accepting the motion.

    3. Cleon Anderson, IEEE 2004 President-Elect will be the Guest Speaker at the KC Section May Banquette on 6 May 04.
      1. Need to plan for a large turnout.

      It was discussed briefly that we need to publicize the May Banquet to get a large turnout for the event. This will be discussed in more detail at the next meeting.

    4. On 13 February 2004, the IEEE Regional Activities Board (RAB) recognized the University of Missouri, Kansas City as a recipient of the 2003 RAB Student Branch Membership Growth Award for their success for Outstanding Leadership and Results in IEEE Membership Development Activities for the IEEE Kansas City Section, in Region 5.
      1. Need to recognize the University of Missouri Kansas City IEEE Student Branch for their RAB Award. R-5 has OK’ed doing it when Cleon Anderson is our Guest Speaker on 6 May.

      Was discussed and is being worked.

    5. Chris Zugelder, Section Student Activities Chair is working to update Student and Advisor contacts.
    6. Chris Zugelder was not present to discuss this item. It will be carried over to the next month’s EXCOM Meeting.

    7. Randy Winzer, Coordinating Professor Pittsburg State, volunteered to work on a PACE/Membership Development/Section shared project to increase IEEE Student registrations throughout the Section.
    8. David Kasper will work closely with Randy to accomplish this project.

    9. Purchase of a Projector for use at IEEE dinner meetings.

A possible purchase of a digital projector for use at IEEE dinner meetings was discussed. The rate to rent is still very high, while the cost of purchasing a projector has become more affordable. Mark Lamendola will be looking into the possibility of renting out the projector to the Wyndam and use it free when the IEEE has meetings. This could cover the cost of purchase, and would eventually become revenue generating for the section. Dale Rummer will be looking into the various projector specifics and costs.

Dale Rummer moved that the purchase option be explored and Dick Hodgman seconded the motion. Vote was unanimous in favor of accepting the motion.
