Officer Job Description: Section Secretary

The Section Secretary is responsible for all Section Communications. The Section Secretary has multiple areas of duty:

Dinner meetings

  1. Sets up the dinner meeting autoresponder for the May Banquet and any other Section dinner meetings (preferably in December of the preceding year).
  2. Takes dinner meeting registration via e-mail.
  3. Produces the nametags (e.g., via MailMerge).
  4. Produces the sign-in and payment form (usually a spreadsheet).

EXCOM meetings

  1. Distributes agenda and meeting notices for all Kansas City Section meetings (alternatively, the Chair may do this--if the Chair so decides).
  2. Takes EXCOM meeting Minutes (note that "Minutes" are basically a record of motions made and their disposition--they are not a transcript of the meeting).
  3. Participates as a voting member of the EXCOM (which is one reason why there should not be a transcript--you can't do two things at once).
  4. Ensures the Webmaster posts the Minutes on the Section Website.

IEEE Reports

  1. Ensures that meeting reports are submitted to the IEEE Regional Activities Department using the proper forms (L-31 Meeting Report), within 30 days of meeting.
  2. Notifies the EEE Regional Activities Departmentof all changes in Kansas City Section and subunit Officers.

  3. Notifies the EEE Regional Activities Departmentof all changes in Kansas City Section bylaws.

 Section Publications

  1. The two Section publications are the Section eNL and the Section Website. The publications officer administers these, reporting to the Secretary. The Website is the repository for documents and the passive means of keeping our members informed. The eNL is the active means of keeping our members informed. IEEE discourages sending eNL notices frequently.

  2. IEEE has also provided a Communities application, which serves as a useful "scratchpad" and collaboration tool.
